Apollo vs Instantly: which cold email tool fits you?

Rather not build this yourself? Pipefire runs your cold email end to end.See how it works →

Apollo and Instantly solve different problems that both show up in a cold email campaign. Apollo is a sales intelligence database with sequencing built on top. Instantly is a sending and warm-up platform with a lead database sold as an add-on. Whether you search "Apollo vs Instantly" or "Instantly vs Apollo," the comparison is the same.

This page checks each vendor's own pricing page in October 2026 and makes no deliverability or results claims about either tool. For the wider map of cold email tools, see our guide to cold email software, which this page does not repeat.

What do Apollo and Instantly actually do for cold email?

Apollo is built around a contact database: 240 million-plus contacts and company records, with sequencing, a dialer, and CRM-style tools layered on top. Cold email is one feature inside a broader sales engagement platform, and prospecting is the part Apollo's own marketing leads with.

Instantly is built around sending. You connect mailboxes, build a sequence, and the platform handles warm-up and delivery across however many mailboxes you connect. A B2B lead database, AI reply and sales agents, and done-for-you domains and mailboxes are each sold as separate add-on products.

A buyer who already has a list and wants a dedicated sender leans toward Instantly. A buyer who needs to find contacts first, and treats email as one channel among several, leans toward Apollo. Neither of those is a deliverability claim; it is what each vendor's own pricing page sells first.

Where does Pipefire fit against Apollo and Instantly for cold email?

Pipefire, which we make, is a different kind of product from either Apollo or Instantly. It is a done-for-you cold email platform. One flat monthly fee covers the sending domains, the mailboxes, warm-up, prospecting and campaign writing, run as a service instead of software you log into yourself.

Apollo and Instantly are both tools you configure and run. You do the prospecting inside Apollo or buy a database add-on inside Instantly, approve or write your own copy, and watch your own bounce numbers. Pipefire finds prospects fresh, writes the emails for your approval, and auto-pauses a campaign on its own at a set bounce or complaint line.

Pipefire suits a buyer who wants the whole setup handled, start to finish, with no sending tool to log into. Apollo fits better if sequencing is one piece of a sales database and CRM workflow you already run. Instantly fits better if you already have mailboxes, or want a dedicated sender priced by send volume.

Apollo vs Instantly pricing for cold email: what's different?

Apollo prices by seat, with a shared credit pool that covers contact data, enrichment, dialer minutes and domain or mailbox purchases together. Instantly prices sending by uploaded contacts and emails sent, leaves mailbox connections unlimited, and splits data and AI agents into separate subscriptions instead of one credit pool.

Apollo's paid plans, checked on apollo.io/pricing, monthly billing:

  • Free: $0, 75 credits a month, 2 sequences, 1 mailbox per user.
  • Basic: $65/mo, 2,500 credits a month, unlimited sequences, warm-up, domain and mailbox purchasing.
  • Professional: $99/mo, 4,000 credits a month, unlimited sequences plus A/Z testing, call recordings.
  • Organization: $149/mo per seat (minimum 3 seats), 6,000 credits a month, unlimited inbound routers.

Instantly's Outreach plans, checked on instantly.ai/pricing, monthly billing:

  • Growth: $47/mo, 5,000 emails, 1,000 uploaded contacts.
  • Hypergrowth: $97/mo, 125,000 emails, 25,000 uploaded contacts.
  • Light Speed: $358/mo, 500,000 emails, 100,000 uploaded contacts.
  • Enterprise: custom, above Light Speed's volume.

Mailboxes are the clearest structural gap. Instantly's pricing page states unlimited email accounts and unlimited warm-up on every paid tier, so connecting more mailboxes never changes the plan price, though you still source the mailboxes yourself or buy Instantly's done-for-you add-on. Apollo caps mailboxes at 1 per user on its two lower plans, and only opens unlimited Google and Microsoft mailboxes, plus a few SMTP mailboxes per user, on Professional and above.

Apollo vs Instantly: a worked cost example for cold outreach

Take a buyer running 20 mailboxes sending 30 cold emails a day each on weekdays, about 12,600 emails a month. This is a round, stated volume, not a vendor quote, so the arithmetic is shown in full.

On Instantly, 12,600 emails a month sits inside the Hypergrowth plan's 125,000-email cap. Mailbox count does not affect the price, since connections are unlimited on every tier. The software cost is a flat $97 a month, plus whatever it costs to acquire and run 20 mailboxes elsewhere.

On Apollo, the 1-mailbox-per-user cap on the two lower plans rules out running 20 mailboxes below Professional. Professional, at $99 a month per seat, opens unlimited Google and Microsoft mailboxes plus 5 SMTP mailboxes per user. Apollo's own help center prices its SMTP mailboxes from 300 credits a month each. 20 of those alone would draw 6,000 credits a month. Professional only grants 4,000, so sourcing all 20 mailboxes through Apollo itself would need extra credits bought on top.

That makes sticker-price comparison hard at this exact volume:

  • Instantly: $97 a month flat, assuming mailboxes are sourced elsewhere.
  • Apollo: $99 a month per seat, assuming mailboxes are mostly connected from elsewhere too, rather than bought through Apollo's own credit-metered add-on.

Our cold email mailboxes guide covers how that volume is worked out for a buyer sourcing their own domains and mailboxes.

Apollo vs Instantly: which cold email features actually differ?

The clearest gap is what each tool treats as the core product. Apollo's pricing page leads with contact and account data, AI research and lead scoring, with sequencing as one module inside that. Instantly's pricing page leads with unlimited mailbox connections and unlimited warm-up, with contact data pushed out to a separate Instantly Credits purchase.

Which fits a sales team in a CRM workflow vs a solo cold outreach sender?

A sales team that already treats prospecting, sequencing and deal tracking as one workflow is Apollo's intended buyer. The database and sequencing tools sit in the same credit pool and seat price, and cold email is one channel inside a bigger motion.

A solo sender who already has a list, or wants a focused sending and warm-up tool without database features they will not use, leans toward Instantly. The $47 Growth plan buys sending and unlimited warm-up alone, with no database bundled into the price.

Neither vendor's pricing page makes a deliverability claim either way; the difference is what gets bundled, not which tool reaches the inbox better.

How does the wider cold email software category compare to Apollo and Instantly?

Apollo and Instantly sit inside a wider category: sales intelligence platforms, dedicated sending tools, and done-for-you services like Pipefire that bundle infrastructure and campaign work into one price. Our Instantly alternatives guide and Apollo alternatives guide each cover a wider set of named tools against Pipefire. For a full breakdown of Instantly's add-on costs, see our Instantly pricing guide, and for how Instantly compares against another dedicated sender, see Smartlead vs Instantly.

If the gap you have hit is not about picking a sending tool but not wanting to run one, our features overview covers what Pipefire does end to end.

Apollo vs Instantly cold email FAQ

Is Apollo or Instantly better for cold email?

Neither is better in general; they are built around different core products. Apollo starts as a contact database with sequencing layered on. Instantly starts as a dedicated sending and warm-up tool with data sold separately. Which fits depends on whether you need the database or already have a list.

Does Apollo or Instantly include cold email mailboxes in the price?

Instantly's Outreach plans include unlimited mailbox connections at no extra charge, though you acquire the mailboxes themselves elsewhere unless you buy the done-for-you add-on. Apollo caps mailboxes at 1 per user on Free and Basic, opening unlimited Google and Microsoft mailboxes only on Professional and above.

Can I use Apollo and Instantly together for cold outreach?

Some buyers do: Apollo for prospecting and data, Instantly for dedicated sending and warm-up. Both are standalone platforms rather than add-ons to each other, so running them together means managing two separate tools and two separate bills.

What's the cheapest way to run cold email at 12,600 emails a month?

Instantly's Hypergrowth plan is a flat $97 a month regardless of mailbox count, though you still source 20 mailboxes elsewhere. Apollo's Professional plan at $99 a month per seat connects 20 mailboxes you already hold. Buying all 20 through Apollo's own add-on would use more credits than the plan grants.

Is there an alternative to running Apollo or Instantly myself?

Yes. A done-for-you platform such as Pipefire runs the sending tool, mailboxes, domains, warm-up, prospecting, and writing as one service rather than a tool you configure. See our cold email cost breakdown for how that compares to running Apollo or Instantly yourself.
